How we automated casali-energy.com
casali-energy.com is a fully automated online B2B wholesaler of solar panels, energy storage, heat pumps and air conditioning. Before the first automation was built, we wrote the company down as 56 processes in 9 areas (as of 07.09.2026). Only on a map like that can you see what can run on its own.

Customer communication
- Before
- Every mail was read and answered by hand. Nobody knew how many enquiries were waiting or for how long.
- Now
- The system reads every incoming message, filters out automatic replies, extracts the company, the person and the product list, then prepares a draft reply in the customer's language. The clock starts at the first minute. Out of every ten incoming messages, the system flags one as needing a reply (measured 22.07–21.08.2026).
- A person decides
- A draft reaches the customer only after a person says “send” on that specific case.

Quotes
- Before
- Prices were calculated by hand for every enquiry; every change in quantity meant a new calculation and a new mail.
- Now
- We answer a product question with a quote: price, availability, minimum quantity. The system takes the price only from the customer's price list, at the tier for the quantity ordered, and an automatic check stops any draft in which the price does not match.
- A person decides
- A person sets the commercial terms: discount, transport, payment and delivery dates, how long the quote is valid. The system writes only what has been decided.

Updating the offer
- Before
- Every change to the offer was entered into the shop by hand, line by line.
- Now
- Changes to the offer go through one path of checks: a suspicious price or incomplete data goes to review with the reason stated. Nobody corrects them by guesswork.
- A person decides
- Today a person approves every change to the catalogue. The rule for later: only updates to items we already know will go through on their own, after every check and with a report.

Catalogue
- Before
- The same product under several names, brand and model written differently, checking by hand whether we already had it.
- Now
- Brands and models are standardised in a fixed order, and a correction a person makes once applies to every later quote. As of 21.08.2026: 47 412 product cards and 647 stored corrections.
- A person decides
- A person decides whether two product cards are merged. When data is missing, the item waits for review: we prefer an empty field to a wrong model.

Winning new customers
- Before
- New customers came by chance: from a trade fair, a referral, an enquiry that happened to arrive. Nobody counted how many there were or where they came from.
- Now
- Every new company is checked before it sees anything from us: whether it exists, whether it fits the customer profile and whether we already work with it. Every price in every text comes only from the price list.
- A person decides
- Every action aimed at new customers is approved by a person — for that specific action, with no exception for routine ones. A mistake like that cannot be taken back.

Oversight
- Before
- Everything lived in one person's head; tasks got lost between the inbox, the phone and the messenger.
- Now
- The work is done by a team of agents with roles: a coordinator, department directors, operators. Each day starts with a list of goals and ends with one figure: the completion rate. Across the whole group, as of 15.09.2026: 33 agent roles. Every owner's decision is recorded in the register with a date.
- A person decides
- The owner decides. Spending needs two separate approvals: first for the option, then for who clicks the purchase.
